Frequently Asked Questions

When are Forms W-2 due?
Employee copies and the SSA filing are generally due January 31 for the prior calendar year. Confirm the current IRS/SSA due dates, including e-file requirements based on form volume.
How do W-2s relate to Form 941?
Annual W-2/W-3 wage and withholding totals should reconcile to the four quarterly Forms 941 (and any adjustments). Variances are a common red flag.
What belongs in Box 12?
Box 12 reports coded items such as 401(k) deferrals, employer HSA contributions, and other benefits. Use the current Form W-2 instructions for codes.
